Who we are

Vivarta Health is operated by Polyclinic Healthcare UK Limited (company number 13148919). Registered office: Toftwood, Layer Road, Colchester, England, CO2 9LA.

Polyclinic Healthcare UK Limited is the controller of the personal information described in this policy. You can contact us about this policy or your information at info@vivartahealth.co.uk or on 07845 005 390.

What this policy covers

This policy covers the Vivarta Health website, vivartahealth.co.uk, and the questions people send us through it or by email. It does not cover health information collected when you use our clinical services.

Information we collect

  • Questions: when you use our contact form, we receive your name, email address, your telephone number if you choose to give it, the topic you choose under “What would you like to discuss?”, your message and the time it was sent. We use your telephone number only to call you back about your enquiry. Please do not include detailed medical history in the form. The form sends this to our mailbox, info@vivartahealth.co.uk. The website itself does not keep a copy.
  • Repeat-message protection: to stop the form being misused, the web server keeps a coded (hashed) version of your IP address with the times of your recent messages. It is used only to limit how many messages can be sent in an hour.
  • Server logs: like most websites, our web host records basic technical information, such as IP address, browser type and the pages requested, to keep the site working and secure.

Please do not send detailed medical history or other sensitive health information through the website.

How we use your information

  • To reply to your question. Our lawful basis is our legitimate interest in responding to people who contact us.
  • To plan future articles, using the subject of questions in a way that does not identify you.
  • To keep the website secure and working. Our lawful basis is our legitimate interest in running a safe website.

Sending us a question does not add you to a mailing list. We do not currently send newsletters or marketing emails. If we start, we will update this policy first, and we will only email you if you have signed up and confirmed your address.

Who handles your information for us

Our website and our email mailbox are provided by Hostinger, which stores and processes this information on our behalf as our service provider. We do not sell your personal information or share it for marketing.

How long we keep information

We keep questions sent through our contact form and our replies for six months after the last correspondence, then delete them from our mailbox, unless we need to retain them as part of a clinical record, complaint or legal matter. Those records follow their own retention policies.

Your rights

Under UK data protection law you can ask to see, correct or delete your personal information, object to how we use it, or ask us to restrict its use. To do this, contact us using the details above. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This website does not use cookies for analytics or advertising, and it does not load fonts, trackers or other content from third-party sites. If that changes, we will update this policy and ask for your consent where the law requires it.

Changes to this policy

We may update this policy. The date at the top of the page shows the latest version.
